Airtrax (Pty) Ltd (“Airtrax”, “we”, “us” or “our”) respects your privacy and processes personal information in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”), read with the Regulations Relating to the Protection of Personal Information as amended with effect from 17 April 2025 (“2025 POPIA Regulations”), and other applicable South African law. This notice explains how we collect, use, share, retain and protect personal information when you use www.airtrax.co.za, contact us or enquire about our products and services.

2. Personal information we may collect
Depending on how you interact with us, we may process:
- identity and business information, such as your name, company, job title and industry;
- contact information, such as your telephone number, email address and information supplied through email or WhatsApp;
- enquiry and project information, such as your workshop, application, processes, equipment requirements, site conditions and messages or documents you send us;
- commercial and service information required to prepare quotations, provide products or services, manage a customer or supplier relationship and provide technical support;
- website and device information, such as IP address, browser and device type, pages viewed, referring page, approximate location derived from IP address and dates and times of visits; and
- records of your communication preferences and any consent or objection relating to direct marketing.
Please do not send special personal information, identity documents, financial account credentials or information about children unless Airtrax has specifically requested it for a lawful and necessary purpose.
3. How we collect personal information
- directly from you when you telephone, email, WhatsApp or otherwise contact Airtrax;
- during quotations, site discussions, sales, installation, maintenance or technical-support activities;
- automatically when you use this website, through server logs, cookies and analytics technologies; and
- from your employer, business contacts, publicly available business sources or service providers where lawful and relevant to our business relationship.
4. Purposes and lawful grounds for processing
We process personal information only where POPIA permits it, including where you consent, where processing is necessary to conclude or perform a contract, where the law requires it, where it protects a legitimate interest of a data subject, or where it is reasonably necessary for Airtrax’s legitimate business interests and does not unjustifiably infringe your rights.
We may use personal information to:
- respond to enquiries and arrange site or technical discussions;
- recommend, quote, supply, install, service or support industrial air-quality and extraction solutions;
- manage customer, supplier and other business relationships;
- communicate about an existing enquiry, contract, project, equipment or service request;
- operate, secure, troubleshoot and improve the website and measure website usage;
- maintain business, accounting, warranty, service and legal records;
- prevent fraud, misuse, security incidents and unlawful activity; and
- comply with legal, regulatory, tax and law-enforcement requirements.
5. Cookies and analytics
The website may use essential cookies required for security and functionality and analytics technologies that help us understand website traffic and performance. At the date of this notice, the website uses Google Analytics/Google Tag Manager. These services may collect device, usage and approximate-location information and may set or read cookies. You can restrict non-essential cookies through available consent controls, where displayed, or through your browser settings. Blocking some cookies may affect website functionality. Google’s processing is also governed by its own privacy terms.
6. Direct marketing
Airtrax will conduct electronic direct marketing in accordance with section 69 of POPIA and the 2025 POPIA Regulations. Where prior consent is required, Airtrax will request it in a reasonably accessible manner and free of charge, including by email, telephone, SMS or WhatsApp. Telephone or automated-call consent must be recorded and made available to the data subject on request, free of charge. An opt-out or a failure to respond does not constitute consent. Existing customers may receive communications about similar Airtrax products or services only where the law permits this and a clear opportunity to opt out is provided. You may object to or unsubscribe from direct marketing at any time. Service, quotation and project communications are not marketing communications.
7. Sharing of personal information
We do not sell personal information. Where necessary and lawful, we may share limited information with:
- employees, contractors and authorised representatives who require it for their work;
- website hosting, IT, email, analytics, communications and security service providers;
- professional advisers, insurers, auditors and accountants;
- manufacturers, suppliers, installers, logistics providers or service partners involved in an enquiry or project; and
- regulators, courts, law-enforcement bodies or other persons where required or permitted by law.
Service providers are expected to process personal information only for authorised purposes and to apply appropriate confidentiality and security measures.
8. Cross-border processing
Some technology, analytics, cloud, email, messaging or supplier services may process or store information outside South Africa. Airtrax will take reasonably practicable steps to ensure that cross-border transfers comply with section 72 of POPIA, including by using recipients subject to an adequate legal framework, binding agreements or another lawful basis for the transfer.
9. Security
Airtrax uses reasonable technical and organisational safeguards designed to protect personal information against loss, damage, unauthorised destruction, unlawful access or unauthorised processing. No website, email or internet transmission is completely secure. If we become aware of a security compromise involving personal information, we will investigate and notify the Information Regulator and affected data subjects where POPIA requires notification.
10. Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to maintain legitimate business and service records, or to meet contractual, tax, warranty, safety, dispute-resolution and other legal requirements. When information is no longer required, we will delete, destroy or de-identify it where reasonably practicable and lawful.
11. Your POPIA rights
Subject to POPIA and other applicable law, you may:
- ask whether Airtrax holds personal information about you and request access to it;
- request correction or deletion of inaccurate, irrelevant, excessive, outdated, incomplete, misleading or unlawfully obtained information;
- object, on reasonable grounds, to certain processing;
- withdraw consent where processing is based on consent, without affecting earlier lawful processing;
- object to direct marketing at any time; and
- lodge a complaint with the Information Regulator.

Objections and requests for correction, destruction or deletion may be made in a form substantially similar to the applicable prescribed form. A telephonic request or objection will be recorded and, on request, the recording or transcription will be made available free of charge. For correction, destruction or deletion requests, Airtrax will notify the data subject in writing of the action taken within 30 days after receiving the outcome of the request, as required by the 2025 POPIA Regulations. We may need to verify your identity and authority before acting. Some rights are subject to legal exceptions, record-retention duties and the rights of others.
12. Third-party websites and messaging services
The website may link to third-party websites or services, including WhatsApp and Google services. Those providers process information under their own privacy terms. Airtrax is not responsible for the privacy practices of third-party websites or platforms.
13. Children
This business-to-business website is not directed at children and Airtrax does not knowingly seek personal information from children through the website. If you believe a child has provided information to us without appropriate authorisation, please contact us.
